Leave Management Software for Kenyan SMEs
How to track employee leave in a Kenyan SME, the statutory entitlements that need to be built in, and why spreadsheets break at 10 employees.
Every Kenyan employer has a legal obligation to track employee leave. Most do it in a spreadsheet that one person understands and everyone else relies on. It works until the spreadsheet gets corrupted, or the person leaves, or the business reaches ten employees and the accrual calculations start to drift.
Leave management software exists to solve a simple problem: ensuring every employee gets the leave they are entitled to, tracked accurately, without the business relying on one person’s memory.
What Kenyan law requires
The Employment Act, 2007 sets out the statutory minimums every employer must provide.
Annual leave. 21 working days per year, exclusive of public holidays and sick leave. Accrued monthly at 1.75 days per month of service.
Maternity leave. Three months, fully paid. An employer cannot terminate employment because of pregnancy.
Paternity leave. Two weeks, fully paid.
Sick leave. 7 days of full pay and 7 days of half pay per year, provided the employee has a certificate from a qualified medical practitioner.
Compassionate leave. No statutory minimum, but many Kenyan employers provide 3 to 5 days for bereavement or family emergencies.
Public holidays. 12 public holidays per year in Kenya, paid.
The employee’s leave record needs to reflect all of these. Annual leave that has accrued but not been taken. Sick leave used and remaining. Maternity taken. Public holidays paid.
Why spreadsheets break
Three specific reasons.
Accrual calculations drift. Annual leave accrues at 1.75 days per month. If the spreadsheet applies this correctly in month one, but the person who built the spreadsheet misses it in month six, the balances drift. Over a year, an employee who took 21 days of leave ends up with a positive balance in the spreadsheet because the accrual was miscalculated.
Approval workflows are manual. An employee asks for leave via WhatsApp. A manager approves via WhatsApp. Nobody updates the spreadsheet. The employee takes the leave, the balance is now wrong, and nobody notices until the year-end reconciliation.
The labour office can ask. If the labour office conducts an inspection, the business has to produce leave records for every employee. A spreadsheet that is out of date is worse than no record, because it looks like the business is trying but failing.
What leave management software actually does
At its core, leave management software does four things.
Accrues leave automatically. Every month, the system adds 1.75 days of annual leave per employee, based on their start date. The employee’s balance is always current.
Tracks leave requests through a workflow. The employee submits a request from their phone. The manager approves or rejects it. The approval updates the balance automatically.
Reports balances accurately. At any moment, the manager can see every employee’s current leave balance, including annual, sick, and any other leave types.
Produces the record for the labour office. When an inspection happens, the record is one export away.
Anything beyond those four is optional. Many leave management systems include calendars, team availability views, and integration with scheduling, which are useful but not essential.
What to evaluate before buying
Does it handle Kenyan statutory entitlements? 21 days of annual leave, 3 months maternity, 2 weeks paternity, 7 days sick with certificate. These should be built in, not configured by you.
Does it accrue monthly or annually? Monthly accrual is the correct model for Kenya. Some systems accrue annually, which leads to errors.
Does it handle carry-over? Most Kenyan employers allow some annual leave to carry over to the next year, typically up to 5 days. The system should let you configure this.
Does it handle the approval workflow? Employee submits, manager approves, HR sees. If the system requires the HR person to enter the leave after the fact, it is not really leave management, it is leave recording.
Does it integrate with payroll? When an employee takes unpaid leave, their pay for the month should reflect it. If the leave system and payroll system are separate, the HR person has to manually pass the information across, which is a source of errors.
Does it work on a phone? Most leave requests will be made from a phone. If the system only works on desktop, adoption will be poor.
Does it handle casual staff? Casual staff often have different leave rules (or no leave entitlement at all, though they may be due payment in lieu). The system should handle casuals separately.
What leave management is worth
Three benefits, in order of importance.
Avoided disputes. Leave disputes are one of the most common issues that reach the labour office. An employee claims they had 15 days of leave left. The business claims they had 3. Without a clear record, the labour office usually sides with the employee. With a clear record, the dispute is resolved in five minutes.
Avoided overpayment. Every employee who takes more leave than their balance has cost the business money. In practice, this happens 3 to 5 days per employee per year in businesses that track leave manually. For a 20-employee business at KES 2,000 per day cost, that is KES 120,000 to KES 200,000 per year.
Time saved on leave tracking. Manual leave tracking takes 30 to 60 minutes per month for a 20-employee business. Leave software takes 5 to 10 minutes.
The ROI on leave management software is almost always positive for businesses with more than 10 employees.

What Sentibooks does
Sentibooks includes leave management as part of the payroll module. Every employee has an accrual balance that updates monthly. Employees can request leave from their phone. Managers approve. The balance updates automatically.
When leave is approved, it flows through to payroll for the month, so an unpaid leave day correctly reflects in the employee’s pay, and a paid leave day correctly reflects in the accrual balance.
Because leave sits in the same system as payroll, there is no manual handover between an HR tool and a payroll tool. It is one system, one record, one calculation.
